Audio Files

Upload and manage hold music, greetings, IVR prompts, and announcement recordings.

The Audio Files page is where you upload, organize, and manage all audio assets used throughout your phone system. These files power IVR greetings, queue hold music, voicemail prompts, and call flow announcements.

Overview

The Audio Files page displays all uploaded files with their name, duration, format, size, and where they are currently used. Files can be previewed directly from the list.

For telephony use, audio files should be mono, 8kHz or 16kHz sample rate. Higher sample rates work but are downsampled during playback. Keep files under 10 MB for optimal loading.

Uploading Audio Files

  1. Navigate to PBX and select Audio Files

    From the main navigation, click PBX and select Audio Files.

  2. Click Upload

    Click the Upload button in the top-right corner.

  3. Select your file

    Choose an MP3 or WAV file from your computer. Enter a descriptive name for the file (e.g., "Main IVR Greeting", "Support Queue Hold Music").

  4. Preview and save

    Use the built-in player to preview the audio before saving. Click Save to upload the file to VoiceCenter.

Audio File Types

Different parts of the phone system use audio files for different purposes:

IVR Prompts

The voice recordings that greet callers and present menu options. Example: "Thank you for calling Acme Corp. Press 1 for Sales, Press 2 for Support."

Upload these on this page, then assign them when creating IVR Menus.

Hold Music

Music or messages played to callers while they wait in a Queue. You can use a single track or upload multiple files for variety.

Voicemail Greetings

The message callers hear before leaving a voicemail. Can be set per extension or as a system default.

Announcements

Short messages played during a call flow, such as "Your call may be recorded for quality purposes" or "We are currently experiencing high call volume."

After-Hours Messages

Messages played when the office is closed, typically configured through Business Hours routing.

Managing Audio Files

Replacing a File

To update an existing audio file (for example, re-recording a greeting), click the edit icon on the file row, upload the new version, and save. All references to that file (IVR menus, queues, etc.) automatically use the updated version.

Deleting a File

Click the delete icon to remove an audio file.

Before deleting an audio file, check that it is not assigned to any IVR menu, queue, or call flow node. Deleting a file that is still referenced will cause those components to play silence or a system default tone.

Recording Tips

  • Record in a quiet room with no echo or background noise
  • Speak clearly at a consistent pace and volume
  • Keep greetings under 30 seconds and hold messages under 2 minutes per loop
  • Use a professional tone that matches your brand
  • Test recordings by calling in and listening as a caller would

Consider recording in the same voice for all prompts to maintain a consistent caller experience. If using professional voice talent, batch-record all prompts in one session.
